How to send receipts to Sage Accounting from WhatsApp

Short answer: yes, you can — through SlipStack. You photograph a slip on WhatsApp, confirm the figures, and it lands in Sage Accounting with the VAT split out and the receipt attached. No app to install, no login for the person holding the slip. Here's exactly how it works.

The short version
  • Sage doesn't take WhatsApp receipts itself — SlipStack bridges the two.
  • Photograph → confirm → it posts to Sage with VAT and the receipt attached.
  • Direct posting — not a CSV you have to import by hand.
  • The original PDF is also filed to your own Google Drive.

Can you send receipts to Sage from WhatsApp?

Yes — but not through Sage on its own. Sage Accounting doesn't have a WhatsApp number you send slips to. What makes it work is a connector that sits between WhatsApp and your Sage company. That's what SlipStack does: it holds a secure connection to your Sage Accounting company, and it gives you a WhatsApp number to send receipts to. The photo goes in one side; a posted, VAT-split transaction with the receipt attached comes out the other.

The reason this matters in South Africa is adoption. WhatsApp is already on essentially every phone here, and everyone knows how to send a photo. There's nothing to install and no login for the person taking the picture — which is exactly why receipts from drivers, foremen, farm workers and owners-in-a-bakkie actually make it into the books instead of fading in a cubbyhole.

The four steps

  1. Connect Sage once. Sign up for SlipStack and link your Sage Accounting company through Sage's own secure login. You do this a single time — the person sending receipts never touches it.
  2. Photograph the slip. Snap the receipt or supplier invoice and send it to the SlipStack WhatsApp number, like any other message.
  3. Confirm the figures. SlipStack reads the supplier, date, amount and VAT and shows them back on WhatsApp. If anything's unclear it asks a quick pick-list question. You confirm or fix — nothing is filed without your okay.
  4. It posts to Sage. The expense lands in Sage Accounting with the VAT split out and the receipt attached, and the original PDF is filed to your own Google Drive, sorted by year and month.
Direct posting vs a CSV export — the distinction that matters

Some South African WhatsApp receipt tools post directly to Xero but, for Sage, only hand you a Sage-formatted CSV to import yourself. That still means someone logs into Sage and runs an import every week. SlipStack posts into Sage directly through your connected account, so there's no manual import — the transaction is simply there, with its receipt.

What lands in Sage

Each confirmed receipt posts as an expense against the right supplier and date, with the VAT separated so your VAT return reflects what's actually claimable, and the source image attached to the transaction so it's audit-ready. If you'd rather review a batch before it hits your ledger, you can — the confirm step is yours.

An honest caveat

SlipStack's Sage posting is newer than its Xero path, which has been running longer. It works, but if you're moving real volume we'd suggest connecting a test Sage company first and sending a handful of slips to see the result in your own ledger before you roll it out to a team. SlipStack is early software built in the open, and we'd rather you trust what you've seen than what we've said.

No Sage yet? You're still covered

If you don't run Sage or Xero at all, SlipStack keeps an automatic Google Sheet dashboard — VAT paid and claimable, monthly totals, category breakdowns and charts — so you get a full picture of spending without any accounting software. See how that works →

This article is general information, not tax advice. SlipStack's Sage integration is newer than its Xero one — verify behaviour on your own Sage company before relying on it at volume.

Frequently asked

Can I send receipts to Sage from WhatsApp?
Yes, through SlipStack. Sage doesn't take WhatsApp receipts itself, but SlipStack connects to your Sage Accounting company and lets you capture receipts by photographing them on WhatsApp. It reads the details, you confirm, and it posts the expense into Sage with the receipt attached.
Does SlipStack post directly to Sage or just export a CSV?
It posts directly into your connected Sage Accounting company, the same way it posts to Xero — no manual CSV import. This Sage path is newer than the Xero one, so trial it on your own company first.
Do I need to install an app?
No. The person capturing the receipt only uses WhatsApp, already on their phone. No download, no login for them — which is what makes it work for drivers, field staff and non-accounting people.
Is the original receipt kept?
Yes. Alongside posting to Sage, SlipStack files the original as a PDF to your own Google Drive, sorted by year and month, so you keep an audit-ready copy under your own control.
