One path per receipt, every time. Your client does the first step; SlipStack does the next three; you do the last one.

    The client sends it

    A photo of the slip on WhatsApp, or a supplier invoice forwarded to their own SlipStack email address. Nothing to install.

  2. STEP 2

    The data is read

    Supplier, date, total and VAT are extracted from the document, with South African date formats and the 15% rate in mind.

  3. STEP 3

    The original is filed

    The source document goes into the client's own Google Drive, organised by month — not into a vault we control.

  4. STEP 4

    The entry is posted

    Straight into the client's Xero or Sage, with the document attached to the transaction so the evidence travels with the figure.

  5. STEP 5

    You review the book

    Every client, their receipt counts and anything waiting on you, on one screen in your partner portal.

Batches wait for you. When a client confirms several slips at once on WhatsApp, the documents file to their Drive and Sheet immediately but the accounting entries are held for your review — so nothing reaches the ledger uncategorised. Approve them and they post with the categories you set; anything you don't get to posts automatically after seven days.

You add the client. They approve one screen.

Enter their name, WhatsApp number, email and plan, and SlipStack gives you a single setup link to send. All the client does is authorise their own Google Drive and their accounting connection — no forms, no account creation, nothing to install. Documents live in their Drive

Every slip and invoice is filed to the client's own Google Drive folder, under their own Google account. If you or they ever leave SlipStack, the source documents are already where they belong — there is nothing to export.

Qelo is the responsible party

Qelo, Cape Town, is the responsible party for POPIA purposes and names an Information Officer. Records are kept while an account is active and for five years thereafter, in line with the retention expected of financial records.

Clients you add start opted out

A client you onboard is created opted out of marketing email, because your practice can't give marketing consent on a client's behalf. They can opt in themselves later; until then they only get service messages.

Who connects the client's Xero or Sage?
Whoever holds the credentials. Normally you send the client their setup link and they authorise their own Google Drive and their Xero organisation or Sage company. If your practice holds those credentials — which is common — you can complete the same link on their behalf. Each client connects one accounting system, and the choice is per client, not per firm.
How do clients get onboarded?
You add them. Enter the client's name, WhatsApp number, email and plan in your portal, and SlipStack gives you one setup link to send. The client's only job is approving Google access and the accounting connection — there's no account to create and nothing to install. Links are valid for 14 days and can be reissued from the client's page, so an expired link is never a dead end.
What happens to receipts a client sends in a batch?
They're held for your review before they reach the ledger. When a client photographs several slips in a row and confirms them all at once, they skip the per-receipt category prompts — so the documents file to their Drive and Google Sheet immediately, but the accounting entries wait. You approve them in the portal and they post with whatever categories you've set. Anything not approved posts automatically after seven days, so a busy month never loses a receipt. This behaviour can be switched off per client if you'd rather everything posted immediately.
What does my client actually see?
A confirmation on WhatsApp each time a receipt is captured, their own SlipStack portal, the Google Drive folder holding their source documents, and their own Google Sheet cost dashboard. Clients you bill never see a SlipStack checkout or invoice. SlipStack is visible to your client as the tool — it isn't white-labelled under your practice's name.
Can I move a client between plans?
Yes, from the client's page in your portal. The receipt and user caps change immediately and the new rate carries into your next monthly charge. Moving a client up is self-service; moving one down is a quick conversation with us.
Which accounting systems do you post to?
Xero and Sage Business Cloud Accounting, both live today and both chosen per client. Clients with no cloud accounting at all are still worth onboarding: they get the Google Drive filing and the Google Sheet cost dashboard on every plan, which is often the first structured view of costs they've ever had — and it makes them far easier to take on later.
What happens if a client stops paying me?
On a firm-billed account SlipStack bills your practice, not your client, so what the client owes you is between you and them — we won't chase your client or interrupt their capture without speaking to you. On a client-billed account the client pays SlipStack directly and our normal billing process applies to them.
Do my clients need to install anything or learn new software?
No. Receipts go through WhatsApp, which they already use every day, or get forwarded to a dedicated email address for supplier invoices. That's the whole client-side workflow — which is why it works for clients who have resisted every app you've suggested before.
